Executive Assistant
Position Summary
The Berkshire Museum seeks an administrative staff member for the Executive Director andthe Office of Development. The Executive Assistant will report directly to the Executive Director and will work closely with the Office of Development in relation to management of the Board of Trustees and Board Committee meetings, agenda setting and meeting preparation, as well as recording and compiling of minutes. They are also the key staff member scheduling and maintaining the Executive Director’s calendar.
As a part of the larger Engagement team, the Executive Assistant plays a key role in the organization’s work to make the museum and its programming accessible and welcoming to all and works closely with the Development team. They develop supportive working relationships with trustees and other key donors and volunteers.
Roles and Responsibilities
This position will assist with all aspects of the Executive Director’s Office and Board of Trustees including, but not limited to, email communications, tracking tasks, calendar management, and coordination with other departments. They serve, in many ways, as a liaison and connector between the Board and the Berkshire Museum team.
• Schedule and manage Executive Director’s calendar, including staff, Trustee, and external shareholder meetings
• Schedule All Staff meetings and work with Senior Management to determine agenda
• Organize and track Executive Director emails
• Assist with task tracking and note-taking for meetings, including official minutes
• Work with Finance team and Executive Director to organize files, check invoices and track budgets for major capital project
• Send calendar invites and packets for Board & Committee meetings through Easy Board
• Communicate with President and Chairs regarding meetings, agenda, and packets
• Work with staff to provide materials and needs for meetings
• Work with Marketing Director to generate Board Book for Annual Board Meeting
Qualifications
• Excellent writing skills with an entrepreneurial spirit and creative style
• Strong communicator working well with museum members through phone calls, emails, letters, and in-person.
• Strong organizational and time management skills; highly self-motivated and energetic, ability to show initiative and work independently.
• Ability to handle simultaneous, multiple projects, work flexibly in a team environment, and collaborate with coworkers.
• Strong technological skills and computer literacy
• Ability to work some evenings and weekends, and easily accept other duties and tasks as assigned.
Additional preferred qualifications:
• Bilingual in Spanish and English
Compensation and Benefits
The Executive Assistant is a full-time salaried position with generous benefits; salary is commensurate with experience. The salary range is $55,000 to $65,000 per year; actual salary will reflect level of experience and qualifications relative to position requirements. This position offers health insurance, dental and vision plans, paid time off, employer contribution to 403(b) and life insurance. The position includes access to an Employee Assistance Program (EAP), museum membership and 11 paid holidays per year (holidays may shift annually due to where days fall within calendar).
